WHAT TYPES OF VENUES ARE AVAILABLE TO RENT FOR EVENTS?
At the Estes Valley Community Center, we have a large indoor reception room that can be divided into 3 sections to accommodate 30-180 people, a classroom that accommodates up to 20 people, and a game room that accommodates up to 16 people. We also have a playroom for children called the Cubz Den that can be used for kids’ parties, and our gymnasium and fitness rooms can also be rented for events. For outdoor events, we have the Marina Pavilion and several picnic shelters in Stanley Park and around Lake Estes. Ball fields, pickleball courts, tennis courts, mountain bike park, and other facilities in Stanley Park can also be reserved for events.
WHAT TYPES OF EVENTS DO YOU HOST?
We host just about any type of event! We do weddings, receptions and rehearsal dinners, corporate training events, sports tournaments and camps, HOA meetings, family reunions, birthday parties, anniversary parties and just about anything else you can dream up.
WILL YOU HOLD THE VENUE FOR ME WHILE I FINALIZE PLANS?
No, we will not hold a venue without payment. Please see the question below about rescheduling or cancelling events to learn about our refund policy.
CAN WE COME EARLY TO DECORATE?
Yes, you can come 30 minutes before your reservation time to decorate or set up food/drinks, and you have 30 minutes after the reservation time to clean up. Note that our wedding package and dinner/reception package both permit you to come much earlier to decorate and prepare for the event, and then return later for the dinner, wedding, or reception.
DO WE HAVE TO SET UP TABLES AND CHAIRS?
Our staff will setup tables and chairs to your specifications for all reservations at the Estes Valley Community Center. All the picnic shelters at Stanley Park and around Lake Estes have picnic tables except for the Marina Pavilion. For the Pavilion, you must have tables and chairs delivered by Estes Park Rent All (or some other supplier if you can find one) and you will need to set up the tables and chairs yourself before the event.
CAN WE BRING OUR OWN FOOD OR HIRE A CATERER OR FOOD TRUCK?
Yes! You are welcome to bring your own food or hire any caterer you like! We have a list of local caterers available. Food trucks must be self-sustaining for both electricity and water. We cannot provide hookups for food trucks.
Can we serve alcohol at our event?
Yes, if you are having a private event with a guest list and you are not inviting the general public, you may serve alcohol to your guests who are 21 years old or older. However, if you plan to invite the public or sell alcohol, you will need a permit from Larimer County.
CAN WE PARTY LATE INTO THE NIGHT?
No, we don’t host all night parties. Events at the Marina Pavilion and Stanley Park must wrap up by dark (about 9pm in the summer) since these facilities are officially closed after dark. Exceptions may be made for ball field rentals that will use field lights. Events at the Estes Valley Community Center can continue until 11pm at the latest, but you need to be cleaned up and out of the building by 11:30pm. There is an additional fee for an attendant to stay after building hours for late events.
CAN WE BRING DECORATIONS?
Yes, decorations are welcome. However, if you attach anything to the walls, blue painter’s tape must be used so items must be lightweight. In addition, we do not permit launching/throwing glitter, confetti, bird seed, or rice. Open flames including candles, fog machines, and bubble machines are also not permitted in our facilities. All decorations must be removed at the end of the event.
DO WE HAVE TO CLEAN UP?
Yes, you should leave the facility the way you found it. All decorations must be removed, all spills must be cleaned up, and all trash must be placed in trash cans provided. At the Community Center, our staff will tear down the tables and chairs and take out the trash. At the picnic shelters, you must get all trash into the bear-proof trash cans provided. If any trash does not fit, you must take it with you. Please do not leave bags of trash next to the cans because it will endanger wildlife. If you do not clean up after your event, a $250 fee may be charged.
WHAT IF WE NEED TO CHANGE THE DATE OR CANCEL THE EVENT
You can reschedule your event to any open date at no charge. If you cancel your event 30 days or more prior to the event date, you will receive a full refund minus a $25 cancellation fee. If you cancel 15-29 days prior to the event, you will receive a 50% refund. If you cancel within 14 days of the event, we will not provide a refund.
